2024 Rocky Mountain Water Conference
Exhibitor Rules and Regulations
August 25-28, 2024

  1. Registration: All manufacturers and their representatives attending the conference and exhibit hall must register. No booth-sharing is allowed. Each booth comes with two (2) full conference registrations. Any additional registrations can be purchased at either full conference rate to attend sessions or Exhibit Hall Only to attend exhibit hall and social events. Registration includes buffet lunches and social events each day. Ticketed events such as the Business Lunches shall be purchased at an additional cost.
  2. Badges: All manufacturers and their representatives attending the conference must wear the conference badge to be admitted to the exhibit area. Badges must represent booth’s company name.
  3. Booth Selection: Upon registration and receipt of full payment, selected booth space will be granted. Booth selection is available online at www.rockymountainwaterconference.org
  4. Exhibit Hall Hours: Monday August 26, 2024, from 3:00 PM – 6:30 PM and Tuesday August 27, 2024, from 3:00 PM – 6:30 PM. See setup and dismantle section for more schedule information.
  5. Private Functions: No individual functions may be held during any of the Official Conference Hours without the approval of the Rocky Mountain Water Conference Co-Chairs.
  6. Payments for Exhibit Space: Regular Booth fee is $1,500; Premium Booth fee is $1,700. Booths are 8’ deep by 10’ wide. Payment is required prior to the exhibit setup.
  7. Company Name and attendee names must be provided by July 1st, 2024. Additional charges may incur for on-site changes.
  8. Fee includes the following:
    Booth fee includes the following: 110 V electricity; One (1) wireless internet connection; 1 skirted table (6’ by 30”); 8-foot high black back wall; 3-foot high side rail drape; 2 side chairs; 1 wastebasket; 7” x 44” identification sign with Company Name, City, state; 2 Exhibitor Registrations & Badges; Listing in Conference Brochure; Official Conference Attendee Opt-In List; Door Prize Drawings in Hall on Monday and Tuesday; Networking Event in Hall with food and beverage Monday and Tuesday; Toilet Bowl Trivia Contest in Hall Monday; and Water Taste Test in Hall Tuesday.
  9. Additional electricity or other services such as telephone line, water, must be arranged through Freeman Services. Receiving shipping packages, storage, etc., must be arranged directly through Keystone Resort Services. The Exhibitor Service Kit will be sent out by Freeman closer to the Conference date and will include contact information.
  10. Setup Instructions: Only paid exhibitors will be allowed to setup. Exhibitors must register and obtain a badge prior to any unloading or setup of booth materials. Setup of exhibits begins Sunday, August 25, 2024, from 11:00 AM to 5:00 PM and Monday August 26, 2024, from 7:00 AM to 1:00 PM and must be completed by 1:00 PM on Monday to prepare for Fire Marshal inspection. Booths not set up by 1:00 PM on Monday may be cancelled or resold. Boxes, crates, and any other large items must be stored off-site or arrangements must be made directly with Keystone Resort.
  11. Dismantle Instructions: Exhibitors may dismantle from 7:00 PM to 10:00 PM on Tuesday, August 27, 2024. Booths must be completely dismantled by 10:00 AM August 28, 2024. Early Dismantling: Exhibitors are prohibited from dismantling booths prior to the final day’s official Exhibit Hall closing hour of 6:30 PM on Tuesday, August 27, 2024. Early dismantling may result in loss of future exhibition privilege.
  12. Cancellation and Withdrawal: A 50% service fee will be charged on all cancellation requests received prior to July 15, 2024. No refunds will be made after August 1, 2024.
  13. Registration Cutoff: Booth registration will be accepted as long as space is available. The deadline for listing in the Conference Program Handbook will be July 1, 2024.
  14. Smoking Policy: No smoking will be allowed in the Exhibit Hall.
  15. Alcohol Policy: Exhibits may not serve alcoholic beverages at any time or for any reason.
  16. Use of Exhibit Space: Exhibits are confined to products manufactured or services rendered by the exhibitor. No exhibitor shall assign, sublet, or share the space allocated. Exhibitors are required to always have the assigned exhibit space neat and orderly. Exhibits are not permitted in any other location without written permission from the Rocky Mountain Water Conference Co-Chairs. No flammable decorating materials are permitted. Exhibitors must accept full responsibility for compliance with all local, state, and national fire safety regulations. No excessive noise will be allowed. No attaching of material to any floor, walls, columns, or drapes will be permitted. Only items and/or services normally associated with the water/wastewater utilities industry may be exhibited.
  17. Liability: Neither the Rocky Mountain Section of the American Water Works Association (RMSAWWA) nor the Rocky Mountain Water Environment Association (RMWEA) assumes any responsibility for the protection and safety or exhibitors, their representatives, agents, or employees, or for the protection of exhibits or other property of exhibitors or their representatives. Each exhibitor agrees to indemnify the RMSAWWA and the RMWEA and hold same harmless from all claims that such exhibitor or its representatives, agents, employees, contractors, or insurers may bring against same in connection with any injury to person or property caused by the actions of negligence of such exhibitor or its representatives, agents, employees, or contractors, including paying all court costs, attorney fees, and other expenses incurred by the RMSAWWA and the RMWEA in defending against, satisfying, or compromising any such claim.
  18. Show Management Reserves the Right to Make Location and/or schedule Changes if Needed.
